TerraScout Ltd and TerraScout, Inc. ("TerraScout," "we," "us," or "our") are the entities responsible for your personal data in the United States. Contact us at privacy@terrascout.com.
This Privacy Policy explains how we collect, use, disclose, and protect personal data when you use our services, supply services to us, apply for a role, or browse our websites. It works alongside our General Terms & Conditions, Website Terms of Use, and other referenced policies.
1) What we mean by "Services"
Our "Services" include:
- Marketing sites: e.g., www.terrascout.com and regional US subdomains
- Campaign/project portals we host for clients in the US
This policy covers personal data processed across all of the above.
2) What data we collect and where it comes from
a) Data you provide
Contact details (name, company, job title, email, phone), account credentials, billing details, support correspondence, event registrations, uploads, and survey/poll responses.
Recruitment: resume/CV, work history, education, right-to-work/background-check information as permitted by law and explained during hiring.
Sensitive data: we don't require it. If you voluntarily share it, you consent to our processing as described here. Please avoid sharing it unless necessary.
If you give us someone else's data, you must have authority to do so.
b) Data collected automatically
Technical: IP address, device identifiers, browser/OS, time zone, session timestamps
Usage: feature use, pages viewed, clicks/scrolls, errors, performance metrics, referrers

c) Data from third parties
Professional contact and firmographic info from reputable US data providers and public sources (e.g., business registries, LinkedIn) to keep our CRM accurate and identify prospective customers.
3) How we use personal data
a) Data you provide
- Deliver and secure the Services, create/manage accounts, and authenticate users
- Communicate service updates and security notices
- Process subscriptions, invoices, and payments
- Provide support and resolve issues
- Improve products and features via research, testing, and feedback
- Manage vendors/suppliers
- Comply with legal obligations and respond to disputes, claims, and investigations
- Campaign portals: administer polls/surveys and—where stated on the portal—share responses with the named client/agencies
- Recruitment: evaluate candidacy, schedule interviews, and perform required checks
Where permitted or with consent (as applicable), we send event invitations, product news, and marketing. You can opt out anytime.
b) Automatically collected data
- Operate, protect, and debug our platforms (including fraud/abuse detection)
- Tailor content to your device/context
- Run analytics, testing, performance measurement, and reporting
- Provide technical support
c) Data from third parties
Maintain accurate records, understand our market, and share relevant information with likely-interested organizations and professionals (subject to law and your choices).
4) When we share personal data
We may share with:
- TerraScout US entities for the purposes described here
- Service providers/Processors (hosting, analytics, CRM, communications, payments, community tooling) under contracts requiring confidentiality and security safeguards
- Event partners/organizers when you sign up for their events
- Campaign clients & agencies named on a portal you engage with; we may share aggregated/de-identified results or, if specified and you provide it, contact details
- Data sources you connect (e.g., mapping/registry layers) to enable requested features
- Regulators, courts, and law enforcement as required by US law
- Professional advisers (lawyers, accountants, auditors) under confidentiality
- Corporate transactions (merger, acquisition, financing) subject to confidentiality
Our Services may link to third-party sites/apps. Their privacy practices are their own—review their privacy notices.
5) Our legal footing (US)
US privacy law generally focuses on notice, choice, and security (with state-specific rights). We process personal data for the purposes above; where consent is required (e.g., certain marketing, non-essential cookies, mobile permissions), we obtain it and you may withdraw it at any time.
6) Referrals
If you join via a referral, we process your data after you submit the sign-up form, and this policy applies.
7) Data retention
We retain personal data only as long as needed for the purposes described and per our retention policy. Examples:
- Business records (e.g., transactions): typically 6 years (or longer if legally required)
- Legal claims: retained as necessary to establish, exercise, or defend claims
- Recruitment: unsuccessful candidates' data up to 12 months from last contact (unless you ask us to keep it longer or a different period applies)
- Inactive product accounts: we may delete or anonymize after 12 months of inactivity, unless we must retain certain data (e.g., billing)

8) Security
We implement reasonable administrative, technical, and physical safeguards (e.g., access controls, least-privilege practices, encryption in transit where appropriate, processor due diligence). We maintain incident response procedures and will notify you and/or regulators if legally required. 9) Children's data
Our Services are not intended for individuals under 18. We do not knowingly collect data from anyone under 18 without appropriate consent and supervision. (Note: under US federal COPPA, the specific legal threshold is under 13; we choose a higher internal threshold of 18.)
10) Direct marketing & your choices
Opt out anytime using the unsubscribe link in emails or by contacting privacy@terrascout.com. We may confirm preferences when laws change or our services evolve.
11) Your US privacy rights (state-level)
Depending on your state (e.g., CA, CO, CT, UT, VA), you may have rights to:
- Access and know categories/specific pieces of personal information we've collected
- Delete personal information (subject to exceptions)
- Correct inaccuracies
- Opt out of the sale or sharing of personal information and targeted advertising
- Opt out of certain profiling/automated decisions with legal or similarly significant effects (where applicable)
- Portability of information you provided
- Appeal our decision on a request (where required)
How to exercise your rights:
Email privacy@terrascout.com. We'll verify your request (and, in some states, you may use an authorized agent). If we deny your request (in whole or part), you can appeal by replying "Appeal" to our response. You can also manage cookie-based "sale/share" or targeted advertising via our cookie banner/settings and we honor Global Privacy Control (GPC) signals for browser-level opt-outs where required.
Non-discrimination: We won't discriminate against you for exercising your rights, consistent with applicable law.
Complaints: You can contact your State Attorney General or the FTC. We encourage contacting us first so we can help resolve issues quickly.
